
UKEC Ordinary General Meeting (OGM)
Dear Esteemed Members of the Supreme Council,
On behalf of the Chairman, I would like to invite you to attend the upcoming UKEC January Council Meeting which will be held on the 30th of January 2010 (Saturday).
1. Details of the Event

Time :Â Â Â 9am - 8pm ( delegates are advised to arrive in London a day earlier )

2. Itinerary

3. Delegates rights
a)Â Â Â Â Â Each constituent member of UKEC is allowed to send 2 delegates (President, Vice President, or Representative) to the Council. All delegates must reply to Zhen Shing (

) with the following details before 12th January 2010 (Tuesday):
NAME, UNIVERSITY, POSITION, EMAIL and MOBILE NUMBER
b)Â Â Â Â Â Delegates who want to attend the OGM but do not hold any post in their respective Malaysian Societies would have to send the same details (NAME, UNIVERSITY, EMAIL and MOBILE NUMBER) and INDICATE that they are a representative.

4. Accommodation (for those from outside London)
a)Â Â Â Â Â Affordable Accommodations are available at Malaysia Hall. As the number of rooms is limited, delegates are encouraged to make reservations early. Reservations can be made at www.masduke.net. Bookings and arrangement for the rooms are between delegate and the MSD.
b)Â Â Â Â Â Alternative Accommodations
Bread and Breakfast in Queensway, Bayswater, Marble Arch and Notting Hill Gate area.

5. Travel Arrangements
a)Â Â Â Â Â Each constituent member of UKEC is allowed to send 2 PAID delegates to the OGM.
But in order to qualify for reimbursement, please send the following information to Bazil Razif (

) BEFORE 13th of January 2010 (Wednesday).

b)Â Â Â Â Â Any request for reimbursement AFTER the above date will NOT be entertained.
c)Â Â Â Â Â Â Please also bring your receipt as proof when claiming the reimbursement on the day of the OGM.
d)Â Â Â Â Â All train tickets will be paid only on the basis of a Young Person Railway Card travel price, (i.e. 1/3 off any tickets. Delegates traveling on normal price/first class will only be reimbursed on the Young Person Railway Card price.
All Bus tickets will be paid on the basis of Students Discount tickets or Megabus prices.

e)Â Â Â Â Â Constituent members are encouraged to request from its own Treasurer reimbursement, so as to ease the financial liability of UKEC.

f)   The UKEC will only provide reimbursement support for primary means of transportation. Accommodation and secondary transportation cost (i.e tube from rail station to MSD) will not be reimbursed.

6. Motions / Issues
a)     All constituent members are ENCOURAGED to submit a motion to be debated at the Council Meeting. A motion can be regarding any issues pertaining to students’ interest or even national issues.
Example of a Motion
Title: International Student Fees
Council notes: That International Students in Irish Third Level Institutions pay higher tuition fees than their EU counterparts.
Council believes: That this is an injustice and causes extra hardship to International Students.
Congress mandates the Equality Officer: To lobby for an end to the overcharging of International Students.

c)Â Â Â Â Â Â Each motion must be proposed by one delegate, and seconded by one more delegate of the supreme council.

d)Â Â Â Â Â Motions will be debated thoroughly in the OGM and it is the duty of the delegate who proposed the motion to ensure that it is properly drafted and comply with the format mentioned.

7. Announcements

Slots for announcements are limited and are allocated on a first come first serve basis.
