Shadow Council 2018 Elections

It is the time of the year for UKEC’s Ordinary General Meeting (OGM) and UKEC would like to extend an invitation to members of the public to come and join us!

The OGM serves as a platform for UKEC’s Supreme Councillors and Malaysian students to discuss any issues relating to our home country, or Malaysian students in the UK and Ireland and also to elect the next UKEC Shadow Council. The UKEC Executive Council would also be presenting about the council’s progress since the UKEC AGM and its future plans.

The details of the upcoming OGM are as follows:

Date : 26th March 2018 (Monday)
Time : 8.30am – 6.30pm
Venue : Harrie Massey Lecture Theatre, Gordon Street, UCL
Dress Code : Formal

Attendees of the OGM are allowed to debate and present suggestions on the agendas as well as the operations of the Council by submitting motions, which will then be voted on by the Members of the Supreme Council. There are two kinds of motions that you can submit:

Private motions – Motions that have to do with UKEC’s operations
Public motions – Motions that you can raise concerning issues that you think UKEC should take a stand or pursue.

However, do note that members of the public are not allowed to vote for motions or any elections. Kindly download this motion form and submit it here before 18th March 2018 for them to be eligible to be discussed/debated on during the OGM.

What is the Shadow Council?

The aim of the Shadow Council process is to ensure a smooth and quick transition into the roles for the candidates who are interested in running for positions in UKEC in the next fiscal year. Candidates who are elected as the Shadow Council members will have a first hand experience of what it is like to be running the biggest Malaysian student organisation in the UK and Ireland! Their time in the Shadow Council will serve as invaluable experience as well as a good preview of the responsibilities and the challenges that comes with their intended roles. Confirmatory vote will be done during AGM in October 2018 to officially elect the shadow council as the official Executive Council of UKEC 2018/2019.

Roles of the elected Shadow Council

  1. To understand the modus operandi of UKEC and their respective offices as they will be involved in the daily affairs and the decision making of UKEC. The probation period will span from April 2018 to October 2018.
  2. Network with company representatives and alumni during summer.
  3. To have a vision on the direction that is to be taken by the office in the next term and for UKEC as a whole. This will then be presented officially during AGM.
  4. Assist the current council in upcoming events and council operations.

 

Transition process from shadow council to official council

a) During AGM in October, the Shadow Council will present their improved manifesto to the Supreme Councillors (leaders or representatives from Malaysian Societies). They will then be officially elected by confirmatory votes from the Supreme Councillors.

b) If a candidate fails to receive majority of the votes, the position will be reopened for nominations on the same day and a by-election will be held the following day.

 

Positions in Shadow Council & Their Roles

Chairperson
● Sets the tone and direction of the council by aligning the internal & external administration of it towards a grand scheme.
● Oversees and conducts the Council’s advocacy and activism work
● Researches developing current issues as well producing and analysing survey results on them.
● Looks into developing greater engagement with student societies by working on new initiatives that can better assist these societies.

Deputy Chairperson
● Supports the Chairperson with internal operations and external relations.
● Acts as the President of Supreme Council by ensuring healthy relationship with the representatives of Malaysian Societies.
● Oversees and conducts the Council’s advocacy and activism work
● Researches developing current issues as well producing and analysing survey results on them.
● Looks into developing greater engagement with student societies by working on new initiatives that can better assist these societies.

General Secretary
● Ensures smooth operation of the council.
● Oversees all council work and projects and the delegation of tasks to the Executive Council members.
● Handles external enquiries and emails.
● Organises UKEC’s Ordinary General Meeting as well as the Annual General Meeting.
● In charge of producing templates and forms, meeting minutes, storing paperwork and documents and producing UKEC’s Annual Report.

National Treasurer
● Handles the finances and maintains relationship with sponsors.
● Responsible for the organization’s financial statements.
● Allocates and distributes funds for each of the branch.
● Maintains sustainability of funds for UKEC daily operation and flagship.
● Arm of UKEC that liaisons and approach Corporate Companies already or are interested in becoming our sponsors.

Vice-Chairperson of UKECareers Office
● Tackles Malaysia’s brain drain problem
● Improves the employability of Malaysian students
● Spearheads UKEC-GRADUAN The Malaysian Career Fair in London.

Vice-Chairperson of UKECatalyst Office
● Promotes intellectual discussions to raise awareness and understanding on current issues within students.
● Creates platforms for productive discourses to construct solutions for any relevant issues in Malaysia.

Vice-Chairperson of UKECares Office
● Contributes to ensuring adequate welfare of Malaysian-based societies and Malaysian students studying across the UK and Ireland.
● Provides chances for the Malaysian students to give back to the community by creating and informing the Malaysian students in the UK and Ireland on the volunteering opportunities available to them.
● Responsible for the council’s welfare by ensuring the wellbeing of council members.
● Assists Secretariat Office with task delegation to ensure it is balanced amongst council members.

Vice-Chairperson of UKEConnect Office
● Ensures constant communication and outreach to students via social media platforms.
● Provides consistency to brand promotion.
● Promotes our events through digital marketing.
● Advises and facilitate your respective team members in designing posters, newsletters as well as creating videos and updating info on the website.
